The purpose of this privacy statement is to inform you of exactly what data AcademicTransfer collects and records when you use our websites, why and for how long we collect these data and how you can rectify or delete these data. It also clarifies what data are provided to third parties, who these third parties are and who is permitted to process these data. This privacy statement applies to all of AcademicTransfer's services. AcademicTransfer would like to emphasise that it is not responsible for the privacy policy of other sites and sources.

AcademicTransfer operates in compliance with the General Data Protection Regulation (GDPR). We demand from our employees to guarantee the privacy of our platform users and that our stakeholders also correctly apply the GDPR legislation, communicate clearly about these processes and take their responsibility for this.

Our use of collected data

AcademicTransfer publishes vacancies advertised by organisations, enabling you to search for vacancies and apply to them. When doing so, you sometimes leave behind personal data.

What data are stored and why?

Within the scope of its services, AcademicTransfer records data in its database for use by AcademicTransfer and the third parties mentioned in this privacy statement. We store or are able to store the following data:

  • first name, surname and email address.
  • your profile details when you have created an account on our website: ORCID iD, academic field, research statement, research proposal, funding information, personal website/social profiles, online publications, educational institution, current/future employer and current/future position;
  • your CV if you have uploaded it in your account.

Furthermore, data are generated automatically. More information on the kinds of data generated can be found later in this privacy statement.

We use your data:

  • to provide any services that you require in order to use our website (contact form);
  • for the creation of email alerts. If you create an email alert, we will process your email address in combination with the search criteria you specify in order to keep you up to date with vacancies that match your search profile;
  • to allow you to apply to an organisation that has published one or more vacancies on AcademicTransfer;
  • to contact and submit questions to our career coach;
  • to match your CV with jobs on our website;
  • to let employers, only those who have an account, view your profile and download your CV if you have given permission for this;
  • to plan an interview when you participate in one of our events;
  • to request information concerning placement of vacancies;
  • to enable the creation of vacancies via an AcademicTransfer account (for employers).
  • to view CV’s and profiles if you have given permission (for employers).

Storage periods

Personal data sent to us via a form on our website will be stored for a maximum of 12 months. Once this period expires, all data will be deleted. AcademicTransfer is not responsible for the storage periods of forms that are not published within AcademicTransfer's domain.

Access to data by means other than provision

AcademicTransfer gives third parties access to data. Except in the cases specified in this privacy statement, AcademicTransfer will not provide your data to third parties without your prior consent. In some cases, the data may be shared internally. Our employees are obliged to respect the confidentiality of your data.

Parties with whom data are shared:

  • Dutch knowledge institutions, employers, professors, university recruiters: in your profile you can choose to let your profile be found by employers. These parties can only view your details if you have given permission and selected the checkbox in your account;
  • Sparkpost: this party sends all emails from the AcademicTransfer website and therefore has access to your email address;
  • Leukeleu: this party constructs and maintains our website, in which capacity it has access to your data;
  • Zoho: our CRM system for the registration of business contacts, contact persons and stakeholders, among others, for the purposes of AcademicTransfer's operations;
  • Google G Suite: provider of cloud services to support the services provided by AcademicTransfer;
  • Intelligence Group: this party provides annual summaries of our visitors' locations (country and city) and of which vacancies receive the most applications. In order to do this, they use our vacancy database and the anonymised Google Analytics data. These data cannot be traced back to you.

Communication rectification/deletion of data

AcademicTransfer gives all visitors the opportunity to view, rectify or delete all personal data they have provided to us. If you wish to rectify your data, exercise your right to data portability or delete your account, please contact support@academictransfer.nl.

Purposes

We will not collect or use any data for any purposes other than those specified in this privacy statement without the data subject's prior permission.

Changes

This privacy statement is tailored to suit the functionalities and facilities offered by this website. Any changes and/or amendments to this site may result in changes to our privacy statement. It is therefore advisable that you consult this privacy statement regularly.

Liability

Our website contains links to other websites. AcademicTransfer is not responsible for these other websites' actions with regard to the issue of privacy. We advise you to exercise due care when leaving our website and to carefully read the privacy statements of all websites that collect personal data. This privacy statement only relates to data collected via our website.

AcademicTransfer is equally not responsible and/or liable for the availability of and/or access to the websites. At all times, AcademicTransfer is entitled to remove information from the website without giving reasons.

The security of data sent via the Internet cannot be 100% guaranteed. Therefore, although we make every effort to protect your personal data, we cannot fully guarantee the security of the data you provide to us.

Cookies and automatically generated data

Cookies are small data files that servers send to the browser so that the browser will send the data back to the server upon a subsequent visit. AcademicTransfer only uses cookies that are necessary for the provision of its services. If other cookies have to be used, we will request your prior permission to do so. Most browsers are set to accept cookies by default, although you can adjust your browser settings to refuse all cookies or to notify you when a cookie has been installed. However, it is possible that some of the functionalities and services on our and other websites will not operate correctly if cookies are disabled in your browser settings.

Automatically generated data

Our websites use cookies to help us analyse how users interact with the website, to enable you to share data easily and for targeting purposes via social media. When you visit our website for the first time we ask for your consent to place cookies on your device. You can manage these cooking settings at any time.

  • Addthis: AcademicTransfer has opted to enable easy and flexible sharing, printing and saving of vacancies via Addthis. Addthis uses a script that makes them aware that you have visited our website;
  • Google Analytics: we use Google Analytics to measure traffic to our website. In AcademicTransfer's Google profile, it is specified that this must be done using the 'xxx profile', as a result of which the measurement data is collected anonymously and in line with the GDPR. No (traceable) personal data is involved.
  • LinkedIn/Facebook: cookies of this social network remember that you visited our website so we can tailor our information and advertisements to you. Although these cookies can track your device's visits to our website, they cannot personally identify you.

Provision of data to parties abroad

AcademicTransfer uses Google Analytics, among other service providers. Google's servers are located outside the European Union. Agreements have already been made with the United States to bring them into compliance with the minimum EU Privacy agreements. AcademicTransfer strives to exclusively work with parties that observe European legislation concerning privacy.
